HVAC CRM & scheduling

CRM and scheduling software for HVAC installers

Every customer, every site and every unit you’ve fitted, with the appointments booked and the service plans due — on the platform that surveyed the room and quoted the job. Customers are confirmed and reminded by email, and renewals are raised before they’re missed.

Customers

One record per customer, every site on it

  • Contact details and notes, with every property you work at for them — one customer, many sites.
  • Every job, payment and document on file: signed proposals, invoices and uploads, across all their jobs.
  • An equipment register: each unit on record with its site, warranty dates and history.
  • Bring your existing book across by pasting rows from a spreadsheet or uploading a CSV.

Appointments

A calendar the customer hears from, too

  • Surveys and installs on a month, week or day calendar, with a lane per engineer on the day view. Drag a job to a new date to reschedule it.
  • When an installation is booked or moved, the customer is emailed the new date, with the engineer’s name once one is assigned.
  • The day before a survey or installation, they get a reminder in UK time. Replies come to your email, not to Vento.
  • Connect Google Calendar or Outlook and job dates appear there, updating or clearing when you reschedule.

Service plans

Renewals that don’t rely on someone remembering

  • Set a service or F-Gas plan per customer with its interval and price. Anything due within 30 days or overdue is flagged.
  • Service visits are raised as jobs ahead of their due date and land on the calendar, ready to assign.
  • A billing run drafts an invoice for every contract that’s due, for you to review before anything is raised.
  • The customer portal shows each customer their jobs, payments and service plan.

Where this sits next to dispatch

This page is the customer side: who they are, when you’re next seeing them, and what they’re due. Running the day itself — the dispatch board, route order, van stock and lone-worker check-ins — is covered on HVAC field service software, and the life of a single job from survey to invoice on HVAC job management software.

What it doesn’t do

Text-message reminders

Booking confirmations and reminders go by email. There’s no SMS, so a customer with no email address on file won’t get one.

Two-way calendar sync

Dates flow one way, from Vento to the Google or Outlook calendar your business connects — not one per engineer. Changes made there don’t come back.

Automatic scheduling

You choose who does what and when. Vento shows who’s full; it doesn’t assign the work for you.

Marketing campaigns

It isn’t a newsletter or email-marketing tool. The emails it sends are about a customer’s own jobs.

Frequently asked questions

What is HVAC CRM software?

A customer relationship management system built around how heating, ventilation and air-conditioning firms work: customers with several sites, the equipment fitted at each, appointments that need confirming, and service plans that come round every year. Vento keeps that alongside the survey, design and quote, so a customer’s record holds the job that won them.

Does Vento send appointment reminders to customers?

Yes, by email. A customer is emailed when an installation is booked or moved, and again the day before a survey or installation, with the time in UK time and the address. Each appointment is reminded once, and a reply goes to your business’s email address. There’s no SMS.

Can I see engineers’ schedules on one calendar?

Yes. The calendar shows every survey and install by month, week or day, and the day view gives each engineer a lane. For assigning work across the week, the dispatch board shows who’s already full — see HVAC field service software for the operations side.

How does Vento handle service plans and renewals?

Each plan has an interval, a price and a next due date, and anything due within 30 days or overdue is flagged. Visits are raised as service jobs ahead of the due date, and a billing run invoices every contract that’s due in one reviewed batch. Customers can see their plan in the portal, through a link that lasts 30 days.

Can I import my existing customers?

Yes. Paste rows from a spreadsheet or upload a CSV, and Vento detects columns such as name, email, phone and address, then creates each customer, with their property when an address is given.

Is there a free trial?

Yes. Every plan has a 14-day free trial, and the customer record, calendar, reminders, service plans and portal are included on every plan. See the pricing page for what each plan costs.
