HVAC field service software

Field service software that designed the job first

Dispatch, route planning, van stock, purchase orders, subcontractors and lone-worker check-ins — on the platform that surveyed the room, sized the system and won the job. Nothing re-keyed, nothing stitched together.

A working day

One Tuesday, start to finish

Seven moments from an ordinary day, and the screen your team would use for each.

07:40 · Route planner

The shortest order for the day’s stops

Give it an engineer’s jobs for the day and it suggests the order to drive them in, with the distance saved shown beside the method used to work it out.

Professional and up

Limits — Estimated as straight-line distance × 1.3 at 45 km/h. It isn’t traffic-aware and doesn’t give directions.

08:15 · Stock, vans & stores

Every van, and every metre of pipe on it

Open a van or a store to see what’s on board and what it’s worth, then adjust it on the spot. A level is never typed over: it’s the sum of every delivery, use and count, so it always explains itself.

Every plan

Limits — It doesn’t sync with a wholesaler’s stock. A stock-take is recorded as an adjustment, not an overwrite.

Van stock
An engineer at the side door of a stocked van holding a tablet showing the van's stock in Vento, line by line.

09:02 · Lone-worker check-ins

A check-in someone notices when it’s missed

An engineer on site alone starts a timer. If they haven’t checked in within 10 minutes of it running out, the office is alerted with their emergency contact — once, not over and over.

Every plan

Limits — It alerts your office. It doesn’t ring anyone and isn’t a monitored alarm — your own procedure takes over from the alert.

Lone worker
Vento's lone-worker screen: an alert that one engineer is 22 minutes overdue with their emergency contact, another due in 48 minutes, and a session signed off safe.

10:42 · Engineer GPS tracking

Three switches, all of them on

Shows where a van is during a job. It records only when the firm has the add-on, the engineer has agreed to it themselves, and they’re on shift. Withdraw consent and it stops at once, with the record of that consent kept.

£15/mo add-on · any plan

Limits — Nothing off shift, no telematics, no driving scores. Buying the add-on switches it on for nobody.

12:30 · Subcontractor job links

A link for the job, not an account for the firm

Send a subcontractor one job — address, date, scope and agreed price. They upload photos and PDFs back to it, and see the site contact’s number only once they’ve accepted.

Every plan

Limits — Subcontractors aren’t users. They never see your customer’s name, the contract value, your notes or any other job.

Subcontractors
Vento's subcontractor list: four firms with their trade, contact and day rate, one flagged because its insurance expires this month.

16:10 · Purchase orders

Ordered, received, invoiced — and matched

Raise a numbered purchase order, receive deliveries against it line by line, and match the supplier’s invoice to what actually arrived before you pay it.

Every plan

Limits — Orders are raised and tracked in Vento. It doesn’t place them on a supplier’s own system.

Purchase orders
Vento's purchase orders: one sent against a job, one invoiced, one part delivered with the value received so far.

1st of the month · Billing runs

Invoice every contract that’s due, in one go

Vento finds the maintenance contracts that are due and drafts an invoice for each, with VAT. You review the batch before anything is raised, and each contract moves on to its next due date.

Every plan

Limits — Invoices are raised as due, not paid, and re-running a half-finished batch can’t bill anyone twice.

Billing runs
A draft billing run in Vento for September: four maintenance invoices totalling £1,074, with buttons to raise them or discard the draft.

Honest limits

What it deliberately doesn’t do

Traffic-aware routing

Routes are straight-line estimates for choosing the order. Use your maps app to drive them.

Vehicle telematics

Tracking is an opt-in add-on that records during shifts. No engine data, no driving scores.

A monitored alarm

Lone-worker check-ins alert your office. Nobody at Vento is watching, and nobody is phoned.

Wholesaler stock sync

Stock is what you record: deliveries, use and counts. It doesn’t read a supplier’s system.

Frequently asked questions

What is HVAC field service software?

Software that runs the work after a job is sold: who goes where and when, what’s on the van, what’s on order, who’s on site alone, and what’s due to be invoiced. Vento does that on the same platform that surveyed, sized and designed the system, so the job isn’t re-keyed into a second tool.

Does Vento plan routes with live traffic?

No. The route planner suggests the shortest order for an engineer’s stops using straight-line distance multiplied by a 1.3 road factor, at an average 45 km/h, and says so on screen. It’s for deciding the order of the day, not for turn-by-turn directions. It’s included from Professional up.

Is lone-worker monitoring included?

Check-ins are included on every plan. If an engineer doesn’t check in within 10 minutes of their timer running out, the office is alerted with their emergency contact. It isn’t a monitored alarm service and doesn’t phone anyone — it makes sure a missed check-in is noticed.

Can Vento replace Joblogic or Commusoft?

For most air-conditioning firms, yes. It covers dispatch, stock, purchase orders, subcontractors, a customer portal, Schedule of Rates pricing and maintenance billing — and it sizes and designs the system, which general field-service tools don’t. They go further in a few areas, such as dynamic scheduling, vehicle telematics and gas certification, so check those if your work depends on them.
