Commercial HVAC software

Commercial HVAC software for air-conditioning contractors

Contract work is priced against someone else's rates, maintained to a plan, and delivered with subcontractors and suppliers. Vento runs that side of a commercial air-con business on the same platform that surveys the building and designs the system.

What commercial work asks of the software

  • Pricing

    Schedule of Rates

Import the client's schedule as a CSV, set the tendered uplift once, then add lines by code. Every total can be checked line by line.

  • Maintenance

    PPM contracts and service visits

A contract carries a plan; Vento raises each visit as a service job ahead of its due date, and the engineer records an outcome for every unit on it.

  • Supply chain

    Subcontractors and purchase orders

Send a sub one job with its scope and agreed price, and raise numbered purchase orders that are received line by line and matched to the supplier's invoice.

  • Estates

    Multi-site customers

One customer can hold many sites — a landlord, a managing agent, a retail estate — with every property listed on their record.

  • In development

    VRF design

A branched refrigerant network for a job — outdoor unit, branches and indoor units. It's marked in development in the app and built on Daikin VRV data only so far.

  • Compliance

    F-Gas register

Each installed system with its refrigerant, charge and CO₂e, and the leak-check interval worked out from it.

Planned maintenance that doesn't live in a spreadsheet

A maintenance contract is the commercial agreement; its plan is the work. When you sell one, Vento puts the customer's installed units in scope and records the sites they sit on. Each day it raises the visits that are coming due as service jobs dated for when they fall due — and a re-run never raises the same visit twice.

On site, the engineer marks every unit as completed, no access, defect found or skipped, with a note. A visit with work outstanding is flagged as partial, with the reason. The date the visit was contractually due is never rewritten when it's moved in the diary, so it's still there when the client asks at renewal.

Leak checks sit in the F-Gas register, and the day-to-day running — dispatch, van stock, routes and lone-worker check-ins — is covered on HVAC field service software.

What it doesn't do yet

SLA timers

Response, attendance and fix times aren't tracked against a contract yet. Visits keep their due date; the SLA clock is yours.

Finished VRF design

VRF is still in development, with Daikin VRV data only. Don't plan a VRF tender around it yet.

Licensed schedules

NHF and PSA schedules are licensed, so you import your own copy. Vento doesn't supply them.

A monitored alarm

A missed lone-worker check-in alerts your office 10 minutes after the timer runs out. Nobody at Vento is watching.

Seats for the office and the engineers

Invite the team as admins, surveyors or installers, and see each person's recent workload beside your seat usage. Business is £239 a month billed annually for 5 users, with white-label proposals; Enterprise covers 20. Full details are on the pricing page.

Frequently asked questions

What is commercial HVAC software?

Software for firms that install and maintain air conditioning, heat pumps and ventilation under contract — offices, retail, blocks of flats, schools — rather than one-off domestic jobs. It has to price against a client's rates, run planned maintenance, manage subcontractors and suppliers, and keep the F-Gas record. Vento does that for UK air-conditioning contractors, on the same platform that surveys and designs the system.

Can Vento run PPM contracts?

Yes. Each contract carries a maintenance plan and covers the customer's installed units by default. Vento raises each visit as a scheduled service job before it falls due — 30 days ahead unless you change it — and keeps the contractual due date separate from the booked date, so a moved visit still shows whether it was late. Engineers record each unit as completed, no access, defect found or skipped, and due contracts are invoiced in one reviewed billing run.

Can we price work against a client's Schedule of Rates?

Yes, on every plan. Import the client's schedule, set the contract uplift once and build each job from the codes. NHF and PSA schedules are licensed, so you import your own copy. See Schedule of Rates software for how the rounding works.

Does Vento handle VRF and VRV systems?

Not fully yet. You can build a branched refrigerant network for a job, but VRF is marked in development in the app and only Daikin VRV data is loaded so far. Single and multi-split systems can be sized and designed in full today.

How many users can a commercial contractor have?

Business is £299 a month for 5 users, and you can add up to 5 more at £25 a month each. Enterprise covers 20 users and is set up with our team. Every self-serve plan starts with a 14-day free trial.

One platform — these are the parts of it installers ask about most.
