Best Heat Pump Software UK (2026): Design & Quoting Compared

The best heat pump design and quoting software for UK installers in 2026 — air-to-water and air-to-air tools compared on heat loss, design, MCS paperwork, proposals and price.

Founder of Vento. Worked on the tools before building the software.

Heat pump software splits in two. For air-to-water systems designed under MCS, the specialists are Heatpunk, Heat Engineer and Spruce. For air-to-air heat pumps — the ones air-conditioning installers fit, now worth £2,500 under the Boiler Upgrade Scheme — Vento sizes, designs and quotes the job, then runs it. Here's how the main UK tools compare. Reviewed October 2026.

Air-to-water: the MCS design tools

An air-to-water heat pump is a wet system, and the work is in the heat loss, the emitters at your design flow temperature, the cylinder and the pipework — and in the MCS paperwork that a £7,500 grant depends on.

  • Heatpunk — room-by-room heat loss and wet system design to MCS standards, MCS documents, and a free tier. Vento vs Heatpunk.
  • Heat Engineer — deep heating design: CAD drawings, emitter, pipe and pump sizing, an MCS performance estimate, and boilers and hybrids too. Vento vs Heat Engineer.
  • Spruce — design plus the paperwork: an MCS quality management system, DNO applications and handover packs. Vento vs Spruce.

Air-to-air: Vento

An air-to-air heat pump is a refrigerant system. Each room needs a unit sized on its heating load — usually the larger one in the UK — and checked on cooling; the condenser has to serve the indoor units; the pipe runs have to stay within the manufacturer's limits. Vento does that as you survey, draws the system to scale, prices it from your own rates, shows the running costs and the grant on the proposal, and takes the deposit when the customer signs. The installed system then goes onto the F-Gas register. Vento also sizes air-to-water systems as a scoping estimate — radiators at flow temperature, the cylinder and a schematic — but it isn't a substitute for an MCS design tool. On a Boiler Upgrade Scheme job, MCS's design standard also requires the heat load to BS EN 12831-1 for air-to-air, so check the calculation you rely on meets it. Pricing is flat per tier, from £39 a month billed annually. Vento's heat pump quoting.

Quoting and workflow: Payaca

Payaca is quoting, payments and workflow software with a renewables slant, and Spruce lists it among its integrations — a common pairing is a design tool for the engineering and Payaca for the sales process. Confirm its design features with them. Vento vs Payaca.

How to choose

  • Wet or refrigerant? Air-to-water and air-to-air are different design problems. Pick the tool built for the systems you fit — firms that do both often use one of each.
  • Is the grant on the quote? A grant shown on a quote that can't be claimed leaves you short on a signed contract. See the Boiler Upgrade Scheme installer guide.
  • What runs the job after the sale? Check whether scheduling, invoicing and servicing are included or need a separate system.

For the calculation itself, see the best heat loss software and how to do a room-by-room heat loss calculation.

Frequently asked questions

What is the best heat pump software for UK installers?

For air-to-water heat pumps designed under MCS, Heatpunk, Heat Engineer and Spruce are the specialist design tools. For air-to-air heat pumps — the systems air-conditioning installers fit — Vento sizes each room on heating and cooling, designs the split or multi-split system and produces the proposal, with the job management and F-Gas records on the same record.

Is there heat pump quoting software for air-to-air heat pumps?

Yes. Vento quotes air-to-air heat pumps: heating-led room sizing, unit selection, your own material and labour rates, running costs on the proposal, and the £2,500 Boiler Upgrade Scheme grant shown only when every condition is met.

Do air-to-air heat pumps get the Boiler Upgrade Scheme grant?

Yes, in England and Wales: £2,500 for homes (air-to-air is residential only), against £7,500 for air-to-water. The installer must be MCS certified for the technology, and the design must meet MCS's heat pump standard, MIS 3005-D — including a heat load to BS EN 12831-1 and an indoor unit in every habitable room. See the air conditioning grant guide for the conditions.
